Creating an invoice seems straightforward, but in practice many workshops issue invoices that unknowingly fail to meet all legal requirements. Mandatory fields in every workshop invoice
- Invoice number with sequential numbering (no gaps or duplicates in the series).
- Issue date.
- Details of the issuing workshop: name or company name, tax ID and full address.
- Customer details: name or company name, tax ID/VAT number and address (essential if the customer wants to deduct VAT).
- Detailed description of services: "vehicle repair" is not enough — you must detail what was done and which parts were used.
- Vehicle registration plate (not legally required but essential for avoiding disputes and for the customer's service history).
- Net amount (excluding VAT), applicable tax rate and VAT amount.
- Total invoice amount (net + VAT).
Which VAT rate applies in a mechanical workshop
In Spain, vehicle repair services are taxed at the standard VAT rate (21%). There is no reduced rate for these services, so both labour and parts are invoiced at 21% in a car workshop. Applying a different rate without legal justification is an error that can create problems during an inspection.
Full invoice vs simplified invoice: which to issue
Invoicing regulations allow simplified invoices (without recipient details) when the amount does not exceed €400 including VAT and the customer is not a business or self-employed person wanting to deduct VAT. In practice, for a mechanical workshop the recommendation is always to issue a full invoice: amounts often exceed that threshold, and many customers are businesses or self-employed with a company vehicle.

The most frequent invoicing error in workshops is not an incorrect figure — it is the disconnect between the work done and the invoice. When the invoice is created manually from memory, it is easy to miss lines, have amounts that do not match the approved estimate, or provide an insufficient description. Can I use a Word or Excel template for workshop invoices?
Legally you can, provided it includes all mandatory data and you maintain sequential numbering. The practical problem is that numbering and data errors are easy to make, and there is no automatic record of issued invoices.
Must the invoice be issued on the same day the car is collected?
The invoice must be issued at the time of the transaction or, if the recipient is a business or professional, before the 16th of the following month. For private customers, the recommendation is to issue it at the time of vehicle collection.
Do I need to keep copies of all invoices?
Yes. Issued invoices must be kept for a minimum of 4 years (tax requirement) or 5 years under money laundering prevention rules. In TallerOS all invoices are automatically saved.
